POLICIES & PROCEDURES
By enrolling in any classes at North Dakota Academy of Dance, you agree to the following:
Registration: A non-refundable fee of $25 per student is required per season at the time of registration.
Payment of Fees: Tuition is due by the 1st of the month. Any balance past due for 20 days is subject to a 10% late fee and will be enforced. Any check returned for NSF reasons is subject to a $20 fee. It is the parent’s responsibility to keep Autopay/recurring payment information current. Autopay will automatically withdraw all amounts due on the account at the beginning of each month. Monthly statements are not provided.
All tuition is non-refundable/transferable. Monthly tuition prices remain the same amount throughout the season regardless of the number of classes in a month. All planned closures for holidays and breaks are factored into your tuition and will not change your payments. Classes must meet minimum enrollment to continue. A dancer cannot perform a recital unless the account is current.
Class Attire: To participate in our program each participant is required to abide by the uniform dress code for their level. This includes hair tied away from the face and the appropriate shoes. No jewelry is allowed to be worn in any dance class with the exception of small stud earrings in the ear lobes. We do not allow dancers to wear attire that shows off the midriff (sports bras, crop tops, etc.). NDAOD reserves the right to ask dancers to change if not dressed appropriately for class. Costumes, Shoes, and Apparel: All studio apparel purchased is non-refundable. Costumes are ordered following measurement instructions and upsizing recommendations by the costume company and are non-refundable/returnable once paid for regardless of student’s enrollment status thereafter. As dancers may fit into multiple sizes, please note that some alterations may need to be done upon arrival. Dancers are required to have the appropriate dance shoes for class and recital. Failing to have the correct shoes by recital could keep your child from participating.
Withdrawal and Refunds: We require 30 days written notice to discontinue any classes. Tuition paid will not be refunded or pro-rated. All automatic payments will stop after the one-month notice period. Non-Attendance does NOT constitute withdrawal notice or adequate reason for not paying tuition. Once classes begin, tuition is non-refundable or transferable and credits are not issued. Full Season tuitions are non-refundable/transferable. North Dakota Academy of Dance reserves the right to terminate lessons to any student. In such a case a refund for unused lessons will be given.
Communication: We use email as our main source of communication and ask that you keep a valid email address on your parent portal. Please do not contact instructors through social media or their personal numbers unless it is an emergency. Although social media can be very easy to access for this, we want to make sure that all communications go through our email so we can be sure that each question/situation is attended to.You are responsible for keeping up to date with emails from ND Academy of Dance.
Extreme Weather or Unexpected Interruption of Classes: If the school must cancel classes due to extreme weather or events beyond our control, you may make up the lesson within 30 days in a similar level class. Refunds or credits are not given. We will notify you via email and Facebook Page of any cancellations.
Substitutions: The studio reserves the right to provide a substitute teacher if the regularly scheduled teacher is ill or otherwise unable to teach classes. If a teacher is ill and the school cannot arrange a substitute, parents will be notified promptly to the best of our ability and any missed classes will be re-scheduled at a later time. Classes may also be combined with another class in the event a teacher is ill and a substitute is not available. Refunds will not be provided.
Dance Class Attendance: Although we would rather a student arrive late than not at all, the studio reserves the right to have a student who comes more than 15 minutes late to class to sit out of the class to prevent injury. If a child is ill or contagious, we appreciate that they are kept home from classes as to not spread the illness. If you need to miss class, please email the office and excuse your dancer. You may make up the absence in a similar level class within 30 days. Refunds or pro-rating tuition for missed classes is not available. If a dancer has excess absences, the instructor has the right to pull them from any particular part of the choreography they see fit or the piece as a whole as to not effect the rest of the dancers and their progress.
Cell Phones: All dancer’s cellular devices (phones, apple watches, etc.) are allowed into the studio under the managed supervision of the instructor. Dancers will not have access to cellular devices during class time with the exception of recording dances for cleaning purposes, certain class activities that may require individual music, or any excused usage by the instructor. In case of an emergency, please contact the studio via telephone or email.
Social Media: All persons associated with ND Academy of Dance are expected to conduct themselves in a professional and positive manner when speaking of the studio, instructors, choreography, students, parents, other studios/dancers, etc. on any social media platform. Anything on social media that is deemed unprofessional or negative towards any of the constituents above is subject to consequences as NDAOD staff see fit. Any concerns or questions should be directed to the studio office via email, telephone, or comment card.
Missed Private Lessons: Missed private lessons require 24 hour notice of cancellation or will be charged to your account.
Behavior and Discipline: Students are expected to be on their best behavior at all times. Dancers must treat all staff, faculty, and peers with respect and a positive attitude. North Dakota Academy of Dance has a zero-tolerance policy for bullying. Students may be dismissed from class at any time for such behavior, and we may terminate any student’s enrollment for excessive behavioral issues. If bullying should happen outside of the studio, we ask that an instructor is notified so we can confront the situation.
Care of Students: The school is not responsible for providing before or after class care for students. If you choose to drop off your dancer, please do so no more than 15 minutes before their scheduled class time and pick up your child promptly when class is over. If a parent of a young child leaves the facility, they must either assign another parent responsible for their child’s care or trust that their child is capable of waiting, staying inside the facility, using restrooms, etc. by themselves and that the studio is not responsible for that child’s care outside the classroom. Older students may arrive early to stretch and prepare for class, however they must behave appropriately in the lobby at all times and will NOT be directly supervised.
Injuries: Parents and legal guardians of minor students waive the right to any legal action for any injury sustained on studio property or off-site location resulting from normal dance activity or any other activity conducted by the students before, during or after class time. Parent/Guardian understands that in the case of an emergency, North Dakota Academy of Dance will take whatever action it deems appropriate to keep the student safe and the studio will not be responsible for any fees occurring from such incident. The student’s parent or legal guardian, not the dancer, must contact the studio directly to let them know of an injury their dancer has sustained. The studio is not responsible for any injuries occurring from persons in the lobby area.
Recitals: When registering for the season, you are acknowledging that your dancer will be performing in a recital(s) with their class. Recital dates are all noted prior to season start and you should reserve all dates that your dancer could possibly perform. Spring recital lineups are announced mid-season and dancers are expected to perform in ALL RECITALS with their classmates and cannot choose which recitals they would like to perform. Dancers performing MUST attend mandatory rehearsals. If a dancer is only able/wanting to perform in one of multiple recitals with a class, they may be cut from the show and tuitions and costumes will not be refunded. Instructors and dancers work very hard on choreography that can be very specific and rely on all their classmates for timing, partner work, formations, and lifts. It is with these things plus all the efforts of the individual dancer that make the dance, and any change to the number of students performing has a negative effect on the overall look of the dance, the choreographer’s efforts, and the classmates overall performance and confidence going into the recital. If you know ahead of time that a dancer will not be able to perform at recital, we are happy to work with that in advance. A dancer can rehearse with their class throughout the year with no expectation of performing as long as we are aware. If you have any questions regarding other commitments, please don’t hesitate to reach out as we are happy to help offer some options or solutions.
Photo Release: The studio is hereby granted permission to take photographs or video of the students to use in brochures, websites, posters, advertisements or other promotional materials the studio creates. Permission is also hereby granted for the school to copyright such photographs in its name. Names of students will not be released unless granted permission by a parent/guardian.
Privacy Statement: North Dakota Academy of Dance does not share or sell any of our client’s information.
Assumption of the Risk and Waiver of Liability Relating to Coronavirus/COVID-19
The novel coronavirus, COVID-19, has been declared a worldwide pandemic by the World Health Organization. COVID-19 is extremely contagious and is believed to spread mainly from person-to-person contact. As a result, federal, state, andlocal governments and federal and state agencies recommend social distancing.
ND Academy of Dance, NDAOD, has put in place preventative measures to reduce the spread of COVID-19; however, NDAOD cannot guarantee that you or your child(ren) will not become infected with COVID-19. Further, attending NDAOD could increase your risk and your child(ren)’s risk of contracting COVID-19.
By agreeing to our Policies and Procedures, I acknowledge the contagious nature of COVID-19 and voluntarily assume the risk that my child(ren) and I may be exposed to or infected by COVID-19 by attending NDAOD and that such exposure or infection may result in personal injury, illness, permanent disability, or death.
I understand that the risk of becoming exposed to or infected by COVID-19 at NDAOD may result form the actions, omissions, or negligence of myself and others, including, but not limited to, NDAOD participants, their families, or staff.
I understand that NDAOD has several plans set in place adjusting with the current threat of COVID-19. As this is an ever-changing pandemic, I understand that NDAOD may choose to change any of their plans at any time should they feel necessary.
I voluntarily agree to assume all of the foregoing risks and accept sole responsibility for any injury to my child(ren), myself, or my family, including (but not limited to) personal injury, disability, illness, damage, loss, claim, liability, or expense, of any kind, that I or my child/family may experience or incur in connection with my child(ren)’s attendance at NDAOD classes, programs, or performances (“Claims”). On my behalf, and on behalf of my children, I hereby release, covenant not to sue, discharge, and hold harmless NDAOD, it’s employees, agents, and representatives, of and from the Claims, including all liabilities, claims, actions, damages, costs or expenses of any kind arising out of or relating thereto. I understand and agree that this release includes any Claims based on the actions, omissions, or negligence of NDAOD, its employees, agents, and representatives, whether a COVID-19 infection occurs before, during, or after participation in any NDAOD program.
Student Code of Ethics
I will wear the proper dance attire or be prepared to sit out of class
I will wear my hair pulled back neatly and securely off my face.
I will serve as a proper role model to my peers and younger dancers at all times, using language and behavior which is appropriate.
I will respect my parents and teachers at all times before, during and after dance class.
I will not talk in class while my instructor is giving instructions.
I will be polite to all students, staff and instructors at all times.
I will not walk on the dance floor with street shoes on.
I will make sure I pick up after myself in order to keep the studio clean.
I will act with proper dance etiquette at all times.
I will come to NDAOD with any problems or frustrations I have and will not take them to social media.
I understand that I can be dismissed from class for misbehavior.
When registering for the 9-month program, I understand I’m making a commitment to my studio, instructor, and classmates.
Parent/Guardian Code of Ethics
I will promote teamwork and sportsmanship for all dancers and spectators.
I understand it is my responsibility to read all emails and stay current with all events, closings/holidays, rehearsals, picture dates, recitals, etc.
I will make sure my child has all the required dance attire each class and will arrive on time.
I will support my child’s class, teachers, and choreographers and will allow the teachers to manage their dancers and choreography as they feel best benefits the entire class.
I will not question the judgment of any instructor or choreographer.
I will not contact the instructor through means of direct phone number or social media.
Because I am a role model for my child as well the other dancers, my personal conduct at the studio, recitals, and other studio or non-studio related events must be above reproach and represent the highest standards of morality, teamwork, and sportsmanship.
I will at all times be considerate of all dancers and parents’ collective emotions.
I will not make disparaging remarks of any type with regard to teachers, choreographers, choreography, placement, costumes, other parents, other schools, or publicly criticize them in the studio or course of any event.
I will take all my questions or concerns directly to the ND Academy of Dance office by email, telephone, or comment card. I will address issues I feel need to be dealt with, and move on from those issues that will not change or do not need to be dealt with. I trust NDAOD staff to deal with issues as they deem appropriate.
Any personal issue I have that is not an emergency but greatly concerns me, will not be voiced to ND Academy of Dance staff until after 24 hours has passed from the incident. This will be known as the 24 HOUR RULE.
I understand that children exhibiting inappropriate behavior will be removed from dance class and I agree to partner with NDAOD staff to resolve behavioral issues immediately.
I will encourage my child to the best of my ability at all times.
I will not make a judgment on my child’s performance and always will be there to support them.
I will never make a negative comment concerning other parents or their children, whether they are from ND Academy of Dance or another school.
I will always applaud for all dancers.
